The formula, the assumptions and the gaps, so you can check my working.
The formula
Monthly total = plan price (× seats on per-seat plans, + extra-staff charges) + card processing + text reminders + new-client commissions + add-ons you need for what you ticked.
- Plan: the month-to-month price, or the yearly price per month if you choose yearly billing. When a vendor publishes only one, I use it and label it.
- Seats: per-seat plans multiply by your staff. Plans with included staff add the published extra-staff price. Plans that cap staff are skipped when you have more staff than the cap.
- Card processing: bookings × % paid online × (average price × online rate + fixed fee), plus bookings × % paid by card in person × (average price × in-person rate + fixed fee).
- Texts: bookings × texts per booking, minus the plan's free allowance, × the published price per text.
- Commissions: marketplace clients × (average price × rate, within the published minimum and cap).
Assumptions I had to make
- Systems that connect to your own Stripe, Square or PayPal are costed with Stripe's standard US rate: 2.9% + 30¢ online, 2.7% + 5¢ in person, labelled "estimated with Stripe's standard rate". So are card payments on plans that can't take payments at all, since you'd still pay a processor somewhere.
- Vagaro publishes no online rate; I use its keyed-in rate (3.5% + 19¢). Above $4,000 a month of in-person card volume I switch to its large-merchant rate (2.29% + 19¢ plus $10 a month), as Vagaro's help center describes.
- Picktime publishes per-user prices with 3 users on Starter and 10 on Pro; I bill at least that many seats.
- GlossGenius Standard is treated as one person (GlossGenius describes it as for solo pros; the seat count isn't confirmed).
- Cal.com SMS credits are $0.01; I assume one credit per US text.
- Sign In Scheduling's yearly appointment bundles (2,400 and 9,600) are averaged to 200 and 800 a month.
- Dubsado's user add-on is read as a flat monthly charge per tier ($25 for 5 to 10 users, $45 for 11 to 20, $60 for 21 to 30).
- Plans with no scheduler (Dubsado Starter, HoneyBook Starter, Sign In Core) are left out of rankings.
- Taxes, card readers, payroll, websites and optional extras are left out.
What goes in the "partial" group
If a plan fits but at least one of its costs isn't published (for example texts beyond the allowance on Boulevard, GlossGenius or Goldie, Zoho's third-party texts, or Mindbody's card rate), it isn't ranked with the complete estimates. Its total is shown with a "+" because the real bill is higher.
Open questions (14)
Things the vendors' own pages didn't settle when I checked on 4 October 2026:
- Schedulicity: Merged into Vagaro: schedulicity.com home and pricing pages redirect to Vagaro. Kept as a pointer only, no plans; cost it as Vagaro.
- SimplyBook.me: currency check. Direct fetch showed EUR, reader proxy showed the same numbers with $; confirm USD prices for US visitors before publishing.
- Boulevard: monthly-billing prices not readable; $143/$234/$328 recorded as annual-billing per-month. Page data also contains unreconciled figures (156/195, 260/325, 364/455) and conflicting text allowances (100 vs 250).
- Cal.com: monthly prices taken from the pricing page's own bundle (monthly toggle), not the default render; Cal Pay fees not found.
- Microsoft Bookings: only annual-commitment prices published; monthly null.
- Wix Bookings: US prices from Wix's own blog (2026-09-10) because wix.com/plans is geo-priced; month-to-month US prices unconfirmed.
- HoneyBook: yearly prices only, current 25% promo may be time-limited; monthly null.
- Mindbody: only Starter $79/mo published (via Mindbody blog 2026-10-02); other tiers contact sales; processing % not published.
- Booker: 'starting at $139' heading only, no per-plan prices; treated as contact sales.
- Sign In Scheduling: official pages conflict on whether scheduling is included or a $460/yr add-on (2,400 appts/yr).
- Picktime: only annual per-user prices published; monthly null.
- Google Calendar: Workspace Individual price not found on Google's pages.
- Fresha: US cap on marketplace new-client fee not verified.
- GlossGenius: Standard plan user count not confirmed.
